Checklists

Employee onboarding checklist for India: the documents to collect and the steps to follow

Good onboarding in India is two jobs at once. One is making a new person feel welcome and productive. The other is collecting the right documents and starting the registrations that carry deadlines. This checklist covers both, for companies of 10 to 200 people.

TL;DR

  • Separate statutory steps (registrations with deadlines) from courtesy steps (welcome, induction). A late induction is awkward; a late registration can cost money.
  • Collect only the documents you need, tell the employee why, and store them where access is restricted.
  • Typical documents: offer and appointment letters, PAN, bank details, address and ID proof, education and experience records, previous PF number if any, and nominations.
  • Day one is about access, policies and people. The first 90 days are about probation goals and check-ins.
  • Thresholds for PF, ESI and other schemes depend on headcount and wages. Confirm what applies to you with your CA.

Onboarding runs on two tracks

Most onboarding checklists mix everything together: laptop, welcome lunch, PF form, ID card. That hides the items that actually have deadlines. Split your list into two:

  • Statutory track. Registrations and records the law expects, such as provident fund and state insurance enrolment where they apply, the appointment letter, and entries in your registers. These have consequences if late.
  • Experience track. Welcome, introductions, tools, training and goals. These decide whether the person stays.

HR-VEND's Onboarding screen keeps the two apart for exactly this reason: a late induction is an inconvenience, while a statutory registration filed late can attract damages and interest.

Before day one

  • Offer letter accepted in writing, with role, pay, location and joining date
  • Appointment letter prepared (role, pay structure, probation, notice period, working hours, leave)
  • Document list sent, with a short note on why each item is needed and who will see it
  • Background or reference check consent collected, if you run checks
  • Employee record created, with department, designation, reporting manager and office
  • Email, system logins and any device ordered
  • Buddy or first-week contact named
  • First-week plan shared with the manager

If you hire through an applicant tracking system, most of the record already exists. In HR-VEND the candidate's details follow them from the offer into their employee record, so joining day does not start with retyping. Moving hiring off spreadsheets is covered in Excel vs an ATS.

Documents to collect

Collect what you need and nothing more. Under the Digital Personal Data Protection Act, 2023 you should be clear about why you collect each item and keep it secure. Where you need Aadhaar, many employers ask for a masked copy that shows only the last four digits.

DocumentWhy it is usually needed
Signed offer and appointment letterTerms of employment in writing; the Labour Codes and many State laws expect written appointment terms
PANIncome tax deduction from salary. Without a PAN, tax may have to be deducted at a higher rate
Bank account details (cancelled cheque or passbook page)Salary transfer
Proof of identity and addressEmployee records and statutory enrolments
Educational certificatesVerifying qualifications the role depends on (essential for clinical and other regulated roles)
Relieving letter and recent payslips from the last employerConfirms the previous employment ended; payslips help verify the offered pay
Previous employer's salary and tax details for the current financial yearSo income tax for the year is calculated correctly
Universal Account Number (UAN), if they already have oneLinks provident fund membership instead of creating a duplicate
Provident fund declaration and nomination formsPF enrolment where it applies, and nominees for PF and gratuity
Family details for state insuranceESI enrolment where the employee is covered
Emergency contactSafety
Professional registration (for example a nursing council registration)Roles that legally require it

Store documents against the employee record rather than in email. In HR-VEND, uploaded documents open through links that expire, and access depends on the person's role. Employees can see and update parts of their own record under My Profile.

Statutory steps to start

Which of these apply depends on your headcount, the employee's wages and your States. Use this as a prompt for a conversation with your CA, not a rulebook.

  • Provident fund. If your establishment is covered, enrol eligible joiners and link their existing UAN where they have one.
  • Employees' State Insurance. If you are covered and the employee's wages are within the ESI limit, register them.
  • Professional tax. Deduct as per the State where the employee works; rules and slabs differ by State.
  • Income tax. Collect the employee's tax regime choice and investment declarations for the year.
  • Registers. Add the joiner to the employee and wage registers you are required to keep. See Registers.
  • Nominations. Collect nominations for provident fund and gratuity.
  • Mandatory policies. Share and record acknowledgement of policies the law requires, such as your prevention of sexual harassment policy. See Policies.

HR-VEND helps you track these steps and their dates, but it does not file PF, ESI or tax returns on your behalf, and its India payroll rules are still under review by a chartered accountant. Your CA or payroll provider remains responsible for filings.

Day one

  • Welcome from the manager, not just HR
  • Logins working before they arrive: email, HR self-service, any work apps
  • Walk-through of the leave policy, holiday list for their office and how to apply for leave
  • Attendance: how it is recorded and how to correct a missed punch
  • Code of conduct and POSH policy shared and acknowledged
  • Safety briefing, especially for warehouses, clinics and stores
  • Introductions to the team and the buddy
  • A real, small task to finish by the end of the week

Our leave policy template gives you something to hand over on day one if you do not have a written policy yet.

The first 90 days

  • Week 1: check-in with manager. Any gaps in tools, documents or training?
  • Week 2: confirm all documents are in and statutory enrolments are done
  • Day 30: goals for the probation period agreed in writing
  • First payroll: check the payslip with the employee, especially if they joined mid-month
  • Day 60: mid-probation review
  • Day 90 or end of probation: confirmation decision recorded, letter issued

Onboarding frontline and shift staff

Retail, healthcare and logistics teams often onboard people who will never sit at a desk. Keep the paperwork short, do it on the first morning rather than by email beforehand, explain in the language they are most comfortable with, and make sure they can see their own leave balance and payslips on their phone. If you hire in batches, run onboarding as a group session and collect documents in one sitting.

Frequently asked questions

What documents are required for employee onboarding in India?
Typically a signed offer and appointment letter, PAN, bank details, proof of identity and address, educational certificates, a relieving letter from the previous employer, previous salary and tax details for the current financial year, the UAN if the employee has one, and nomination forms. Collect only what you need and explain why.
Is Aadhaar mandatory for joining a company?
Requirements depend on the schemes you use and change over time, so check with your CA. Where you do collect Aadhaar, ask for a masked copy where possible, explain why it is needed, and restrict who can see it.
Do I need to register every new employee for PF and ESI?
Only if your establishment is covered and the employee is eligible. Coverage depends on headcount and wage limits. Confirm the current thresholds with your CA or labour consultant.
Is an appointment letter compulsory in India?
Written appointment terms are expected under the Labour Codes and many State laws, and they protect both sides in any later dispute. Issue one to every employee, including frontline and shift staff.
How long should onboarding take?
Paperwork and statutory enrolments should be done in the first week or two. Proper onboarding, including probation goals and check-ins, usually runs for the first 90 days.
